Saturday ( sick calls only) at the Bay City office
Patients are seen by appointment only. We see sick children every day, Monday through Saturday. Sick child visits are scheduled for the same day that you call. Well child visits and recheck visits are scheduled in advance. Please call as soon as possible to schedule your well child exams ( preferably 1-2 months in advance). Please refer to our “Caring For Your Baby” book for the well child schedule. We have a limited number of same day Well Check and Recheck appointments available daily.
When you call for an appointment, please let us know the reason for the visit so we can reserve the correct amount of time and can separate well children from sick children. Your appointment time is reserved for you. We request a 24 hour notice of cancellation. It is our policy that you will be discharged from our practice if you have missed three (3) appointments without calling and canceling.
If you are late for your appointment, you may be asked to wait until your child can be seen or to reschedule. We will make every effort to see you at your scheduled time. However, if there is a delay we hope you realize it is because a patient is in need of a little extra time.
Office Telephone Calls
Our office phone will be answered by our staff during the hours listed above. After hours calls are handled by our answering service. A doctor is on call 24 hours a day for emergencies. The following are guidelines for telephone calls:
Sick Check Appointments
Many parents have questions regarding how we schedule sick appointments. Sick appointments are always scheduled on the same day that you call. In other words, if you call to make an appointment because your child is sick or you have concerns regarding their health, your child will be seen that same day. We will not schedule sick appointments for the next day. A child’s illness can change very quickly and it’s best to see them the day you call. We set aside the end of the morning and the end of the afternoon for sick checks. The appointment time you are given when you call is always the earliest we have available. If you have special circumstances that require a different time please let us know at the time you call. Please call us before 4:00pm Monday through Friday and at 9:30am on Saturday morning if you want to have your child seen. Thank you for your cooperation.
Walk In Policy
The Children’s Medical Group’s offices strive to maintain an efficient schedule and with that in mind we have to make a reminder regarding unscheduled walk-ins. A child’s appointment for a well check or a sick visit needs to be reserved with a phone call. By making appointments we are able to balance all the patients needs and waiting times. We can assure that a provider is in the office. If your child needs emergency care, call 911 or call the office and we can direct you where to go. Otherwise, walk-in patients will be asked to wait until a slot opens in our book. Maintaining a schedule helps us continue to provide quality care. Thank you for your cooperation.
No Show Policy
We realize that sometimes you either need to cancel an appointment or your appointment just slipped your mind. Since your appointment is reserved for you we request 24-hour notice of cancellation to open up the appointment for another patient. We may charge you a $25.00 no show fee. It is our policy to discharge a patient from our practice for three missed and non-cancelled appointments. Thank you for your cooperation in keeping or canceling your appointments.
If it is necessary for your child to be hospitalized he/ she will be admitted to Covenant Cooper. Dr. VanGelderen or Dr. Thill will see your child daily. We see newborns daily at Covenant Harrison.
We accept and bill most insurance plans. We charge what we have determined is the usual and customary fee for the professional services we provide. Our current fee schedule is available on request.
For services that may be a benefit, we will bill your insurance company. Once your insurance has processed the claim, we will send you a statement for any amount you owe.
For services that are not a benefit of your insurance, we expect payment at the time the service is rendered. We also expect payment of insurance co-pays at the time the service is rendered, otherwise a $4.00 billing fee will be charged.
We expect a payment on any outstanding balance on your account at least once a month.
If you have more than one insurance, we need a copy of the “Explanation of Benefits” before we can bill the second insurance.
In the situation of guardianship, separation, or divorce we consider the adult bringing the child to the office to be responsible for the bill incurred.
If you have specific questions regarding your insurance plan or any other questions, please do not hesitate to ask us.
We hope this information is helpful in explaining the practice policies. If you have any questions or would like additional information please do not hesitate to ask us.
